Association Business





  • Treasure’s report – $2800.79

  • All club dues are in.

  • T-Shirts were reordered. $198.50 was spent on them.

  • Officer and Delegate Nominations for 2011

    • Each club needs to send a list of nominations by the next meeting.

    • Voting will be during the November meeting.

    • Two Delegates from each club need to be nominated as well.

  • The association’s constitution needs updated.

    • Luke will post up the most recent copy so that everyone can come to the next meetings with changes they would like to discuss.




Events



  • Midwest Fall Meeting – Unable to find accommodations for us to sponsor the meeting, either because of price or late notice. We would like to try again for the spring meeting.

  • Midwest Spring Meeting

    • Damage, Inc is going to work on planning this

    • It is estimated that we will need 35 double occupancy rooms, and a meeting room to hold up to 50.

  • JOCCI Open run – The planned event was rained out. They will discuss new dates at their next meeting and report back.

    • They may possibly wait until September because everyone’s schedule seems pretty full until then.

  • Syndicate Open Run

    • Scheduled for July 24 and 25 at Area 51. (Syndicate’s wheeling land)

    • MUST be a member of the association for insurance reasons.

    • Because of the terrain, participates must have front and rear lockers, a winch, and 35’s

    • Tow points, and first aide kit will also be required.

    • Participants should expect that getting body damage is highly likely.

    • Because the area is relatively small, the event will be limited to twenty rigs.

    • Prepare for a high level of poison ivy.

    • Luke will email directions on how to get there to each club.

    • Concrete Cruisers car show. -We did not attend, because we didn’t get enough info back about the event.

  • Windsor Heights parade – The promoters of the parade did not return information to us about entering. We didn’t pay anything.




Land Acquisition




  • Fort Dodge quarry land. (500 acres)

    • The land has not been given to the city yet, from the gypsum company. We are unsure of how soon the land will become available, or when the city will be deciding what to do with it.

    • Scott Dorau has been keeping in touch with the mayor and a city counsel man about the land.

    • The IA4WDC has decided we need to prepare a presentation before the land becomes available so that we are ready to go before the city counsel.

    • Scott Dorau will contact NORA to see if they have presentations available and to see how much consulting fees would be for using their help.

    • Someone suggested that we start gathering pictures and videos of club members that we could use at the presentation to show how family oriented and safe we are.

    • Someone suggested that we invite Fort Dodge City counsel members out to see what wheeling is all about.

  • General Land Acquisition

    • Jim Shanks suggested that we get side by side users as allies because they usually are not permitted in ATV parks.

    • Mike Francis suggested that we become proactive and prepare letters to other communities, so that they know the benefits a off road park in their area would bring to their community.

    • Troy Henrickson (not present) is looking into how to gain federal grant money for this project.

    • Mike suggested we get a list of national off road events and their requirements so that we can use this data in getting communities on board with having a park. He volunteered to start gathering this information.

    • Someone suggested that we concentrate on changing the publics perception of off road enthusiasts.




New Business



  • 4×4 Show and Swap Meet – Story County Fair Grounds

    • Larry Reinsch (SkunkRiver on JOCCI forum) and Mike Potter (not present) and other have been planning this show for September 25th (tentative).

    • It will consist of a 4×4 show, swap meet, camping, raffle, vendors, and driving skills competitions

    • Any proceeds would go to the IA4WDC for use in land acquisition.

    • The show needs help with insurance, and needs lots of volunteers from the clubs.

    • Each club could put up a display to solicit new members.

    • The IA4WDC could lobby at the show for land acquisition

    • The event would start with registration on Friday night, go all day Saturday and Sunday, with an awards ceremony on Sunday night.

    • The event is kinda being modeled off of PA All Breeds Jeep Show. They have lots of information online, and they are willing to give advice about how to run the show smoothly.

    • Larry would like us to get the word out to the other clubs and get a contact person for each club.

    • Larry will get a list of what he thinks we will need from each club.

    • Syndicate is working on getting their dues in
    • Art was unsure if TCC has paid
    • JOCCI has paid but has dues from additional members to collect.
  • Coleman will do an inventory on T-shirts to determine how much money is needed for a reorder.

Volunteer Opportunities / Community Involvement

*Our 1st Keepers of the Land clean up day was May 8th in the afternoon. Several members attended and painted all the sign posts Big Creek State Park.
Events


  • MDW4WD Spring Meeting
    *Matt McVicker attended, and reported on the event.

  • MDW4WD Fall Meeting
    • Considering changing the venue from Waterloo to Dubuque, because all the hotels are full for that weekend in Waterloo
    • Dates have changed from October 8-9th to October 15/16th
    • Delegates from Damage Inc are still working out hotel prices.
    • Back up plan is to have the Fall Meeting at Black River Falls (Hotel is already reserved just in case), and then we will host the Spring event just in case.



  • Spring/Sumer Runs
    • JOCCI Farm Run – Possibly June 19th/20th – Dates need to be finalized with JOCCI
      • Only open to Members of Clubs who are members of the Association – for insurance purposes.
      • Camping is available, but there is no water or shower/bathroom facilities.
        No alcohol is allowed.


    • Area 51 Syndicate Run – July 24/25th

      • Only open to Members of Clubs who are members of the Association – for insurance purposes.

      • Camping is available, as is an outhouse. No water or shower is available.




  • Concrete Cruisers Car Show – May 22

    • We would like one rig from each club.

    • Luke will discuss the details with Jason Copeland who has already contacted Concrete Cruisers.

    • Luke and Alison can bring a folding table and canopy for the show.
      We will have people there to hand out flyers.

    • $50 was approved to buy candy to hand out at the car show.



  • 4th of July Parade in Windsor Heights

    • This will be Windsor Heights first parade.

    • Jim Shanks will contact them about having us in the parade.

    • The parade line up starts at 3pm

    • $100 was approved for candy to hand out.

    • We discussed handing out little trees at the parade, but it seams they are over $1 a piece from the Arbor Day foundation. We should look into it further for a future event.


  • Porky’s 4×4 Day – July 10th? 12-4pm

    • Luke and Alison will discuss the event with them.

    • Alison will put the event in Juice Magazine

    • If they could serve hamburgers and hot dogs outside for us, perhaps more people will come for lunch

    • We also would like to ask them to block off part of the parking lot for our display rigs, so that there aren’t minivans and such parked next to them.

    • There seemed to be a general consensus to have the 4×4 days on the afternoon of our board meetings so that members of Damage Inc can participate



  • Iowa State Fair

    • It is too early to submit our entry for the Iowa State Fair parade, but we do plan to participate.

    • Coleman is having difficulty getting them to get info back from them about having a display at the Fair.




Land Acquisition

  • Fort Dodge US Gypsum land.

    • US Gypsum is giving 500 acres of quarry land to Fort Dodge, traditionally land from US gypsum has been used for the ATV Park.

    • The mayor of Fort Dodge has indicated that he would like to use this new 500 acres for a full size park.

    • Currently the city is busy with planning a casino and such, but we may soon be given time to bring our case to their city council.

    • A presentation needs created to show to the city council, that will show how family oriented and responsible we are, as well as how much money it can bring the city/county

    • Art volunteered to ask SMORR for participation numbers to use for the presentation.

    • Christina believes someone should contact the City of Seymour and ask about how much revenue the SMORR park has brought their city.

-Treasurer’s report : $2700.24
-Discussed who the delegates are from each club.
-Dues: $6 per member. These MUST be paid before MDW4WD conference in April.
  • We will ask Jim Shanks to contact each club about their dues.
  • Casey Cambell from TCC said he would drop a check off to Luke.

Volunteer Opportunities/Community Involvement


-Iowa DNR Keepers of the Land Program.

  • Art Schramm will contact them to get dates and information
  • We should make if fun and family oriented. Perhaps we will have a camp out after the work is done.
  • We should find a way to get media attention from it.

-Christina Oleson suggested we get involved in a river clean up that the city holds.

  • Alison will discuss with Christina to find out more info.

Events


-IA4WDC 4×4 Day. March 13 2010, Porky’s Pub and Garage.
  • We need to discuss with Porky’s about having another one on May 8th.

-MDW4WD Spring meeting. April 23 – 25th Wisconsin.

  • Black River Falls Wisconsin

  • Matt McVicker and Coleman Young are thinking about attending.

  • Matt McVicker mentioned that it will be a good opportunity to see how the meetings are held so we can successfully hold it in October.

-MDW4WD Fall Meeting (October 8th, 9th)

  • We would like to sponsor this meeting in Cedar Falls/Waterloo area.

  • Damage, Inc has been looking into hotels and catering that could accommodate us.


    • They will email their info to Coleman and Luke

    • Found a hotel that can accommodate 35 people or so

    • Oct 15, 16 won’t work because the hotels are full


  • Matt McVicker volunteered to make a flyer with the information to take to the April MDW4WD meeting

  • A list of things we could raffle at the October meeting needs created. Clubs make quite a bit of money off of raffles.

  • Discussed the possibility of having a 4×4 night on the Friday night of the event.


-Spring/Summer Area-51 and JOCCI farm runs

  • Ben Oleson will report back on what dates 4×4 Syndicate can accommodate a run at Area 51.

  • JOCCI will discuss at there next meeting.

-Concrete Cruizers Car Club Charity Car Show. May 22, S.E 14TH & Harriet St Des Moines Iowa

  • Organizers told us we can set a display for free.

  • Jason Copeland volunteered to contact them.

  • We would like space to set up a table, canopy, and 3 rigs or so.

  • -World of Wheels

    • Date is next weekend. No time to plan.

    • Put it on the calendar for next year.

    -Iowa State Fair:


    • IA4WDC would like to possibly have a display on Main Street

    • Most agreed that doing the whole week would be too much.

    • Coleman Young will contact them to find out details.

    • We would also like to do the parade again.


    Land Acquisition


    -Alison Graham discussed the preliminary steps for acquiring a public off road park and provided a summary of Part 1 from Park Guidelines for OHV’s
    -According to the book, and the general consensus of the meeting, our best opportunity to obtain land is to include as many groups to use the land as possible, such as ATV’s, dirt bikes, etc.
    -It was discussed that perhaps an better/easier opportunity to obtain land would be to convince the state that we should be included in existing off-road parks by adding trails for full-sized vehicles, as opposed to asking for a new piece of land.
    -Chris Onsrud asked if the book addressed over coming stereo types pertaining to full size vehicle owners.

    • The OHV park book agrees that most people believe that off road enthusiasts who drive full size vehicles are young, immature and irresponsible people who trash land, when in reality it is older people who have money to spend on tow rigs, trailers, etc and who use off-roading as a family get away.

    • Throughout this process we will need to battle the stereo types by showing our pictures of our families using the land properly and enjoying it peacefully.

    • We will also need to provide demographics about our members to prove the stereo types wrong.

    • Clint Hanson pointed out that we should also show how safe we are by using quality tech inspections at events.

    • Cole Morano suggested we do more community involvement.


    -Step 1 in land acquisition is to brainstorm about what groups will use the land.

    • We need names and contact info of OHV clubs, OHV store owners, ANYONE who could directly benefit from the OHV park.

    • We will hold a meeting – tentatively scheduled for April 17th, place to determined.

    • We will discuss who to contact and who will contact them.

    • Anyone interested in helping can attend.

    • -Step 2 – contact these people and invite them to join the project, and land acquisition committee will be formed.
      -Step 3 – This land acquisition committee will gather data on use numbers, demographics, and dollars that would be spent as a result of using the park.

      • Art Schramm suggested contacting out of state off-road parks such as SMORR and asking for their demographic and use data.

      • Mike Francis suggested we ask NOHVCC and NORA for assistance with demographic data.


      -After the committee feels they have gathered adequate data, they will move on to the next steps.

      501©(3) Status


      -Alison Graham asked if perhaps we should get a lawyer and pay for the our 501©(3) status so that we can accept grant money.
      -Many people stated that it is expensive to get, and we may not even need grant money for the land acquisition project.
      -Casey Cambell stated that could cost several thousand dollars and even after paying for it, we may not be approved if we don’t exhibit enough just cause to have it.
      -Casey volunteered to do some checking with the IRS on what is involved.
